Evendale Recreation Commission
February 17, 2005
Called to Order at 6:02pm
Roll Call: Mike Flavin, Michele Gottschlich, Marylou Isaac, Beth McDaniel, Molly McMahon, Dave Nichols. Excused: Wayne Mosley and Jeff Albrinck.
Recognition of Visitors: Patty Grist, Manager of Adult Services & Pavilion Coordinator
Approval of Minutes: Motion to approve minutes made by Michele Gottschlich; seconded by Beth McDaniel. Motion passed.
New Business:
Patty Grist, Manager of Adult Services & Pavilion Coordinator
· Introduction of Patty to all members of the Commission.
· Patty presented a schedule of programs for Adult Services; which was created with a focus on leadership from the membership and a “frosting on the cake” philosophy. Patty explained this means going the extra step, or giving “a little extra” to the members.
· 2005 is “heavy” on special events.
· Membership is in addition to a facility membership. It allows for program discounts, sponsorship of up to four non-resident memberships.
· Program is trying to maintain a 60% resident to 40% non-resident ratio. She is also trying to break down the “seniors” or “old persons” stigma. Adult Services is for residents over the age of 18 and their sponsored guests.
· Pavilion schedule for 2005 was distributed. All the concerts will be on Saturday nights this year starting at 7:30pm. Patty’s plan is for a few, high quality bands.
· She is always looking for recommendations; especially from Phi Lambda Pi, maybe a band or two for concerts to be held on Wednesday nights.
· Marylou Isaac suggests Fun In The Sun plan a day up there. The kids could do skits, sing, etc. which would be practiced during the summer and then performed at the Pavilion towards the end of the summer program. The kids and parents would be a ready-made audience.
Old Business:
· Tri-Health report had no discussion. A recommendation was made for Tri-Health to add classes that used the stability and BOSU balls.
· Attendance charts were discussed. Members found some numbers surprising; others were expected. General agreement that this information will help when it comes time to consider fitness center management and operational hours.
· Balloon Town USA – Motion to decline their use of facility request was made by Beth McDaniel; seconded by Mike Flavin. Motion passed.
· Objectives & Goals 2005
1. Use Pavilion more often. Phi should think about maybe using it one Wednesday a month during the summer and fall months.
2. Examine financial expenditure by line item each month – questioning any item that seems unreasonable, entered under the wrong line item number, etc.
3. Examine event and sport expenditures after each event or season.
4. Look at the department operating the fitness center and the swimming pool.
5. Find out the costs for the hike/bike trail from Cooper to Kingsport; then budget for its implementation in 2005. (Wyoming just added trails in 2004. They used grant monies from The Ohio Department of Natural Resources – Nature Works Grant Program.)
6. Prioritize the “desired facilities” list in the Five Year Master Plan.
7. Move or add shuffleboard to the pool area.

Addendum to the Department’s Code of Conduct Policy
Dress and Grooming
No Phi Lambda Pi (PLP) member shall dress in a manner which presents a clear and present danger to the member’s health and safety, or in a manner which causes interference with the PLP organization or “open house”, or which creates a disruption, or which is considered inappropriate for program attendance. This includes, but is not limited to, tank tops, any clothing that reveals underwear, bra strap, oversized jeans, shorts and/or skirts that do not extend past his/her fingertips, shirts/blouses showing midriff, and any clothing or accessory containing offensive statements defined by the Department’s Code of Conduct, i.e., “it’s all relative in West Virginia.” A member may be asked to leave a particular function if the member arrives to a function
dressed in an inappropriate manner.
Failure to Obey Instructions
No member shall fail to comply with instructions or requests of Phi Lambda Pi (PLP) staff, or other authorized village personnel during any period of time when he/she is properly under the authority of such village personnel, i.e., “open house”, scheduled day or overnight trips. Behavior found to be objectionable to the PLP staff or authorized village personnel because of its poor taste or inappropriate action in a public setting may result in program or special events suspension, up to and including overnight trips (i.e., Myrtle Beach trip.) Objectionable behavior includes, but not limited to, inappropriate touching, patting, and body contact with another person.
· Tennis Program is changing fees for 2005. In light of participation revenue vs. expenses in 2004, fees will increase in 2005. However, our fees will still be lower than surrounding communities.
· Dave asked Molly McMahon to check with school about the possibility Commission holding an occasional morning meeting.
Phi Lambda Pi Report:
· Addendum to the Code of Conduct was discussed at the last meeting.
· Myrtle Beach trip dates will be July 24th-29th because the group will be staying at a beach house in North Myrtle Beach. Transportation will be by motor-coach again this year.
Open Discussion:
· “Relay for Life” is May 13th and 14th. Molly McMahon is looking for participants.
· Evendale Chamber of Commerce’s request, which was discussed at the last meeting, is still awaiting further details from the Chamber.
· Blocking pads for Tae Kwon Do are also being used at basketball practice.
· Texas Poker Night is being coordinated by Mike Flavin. He is going to contact Kristen Maiden about adding a sports theme. It will be held on a winter night. Consideration will be given to allow teenagers to participate.
· Youth volleyball is being explored.
· Tri-Health has not gotten back with Dave regarding an “Ignition” style program.
· Marylou Isaac and the rest of Commission thank the Recreation Department for all of their assistance regarding the Nguyen Family events.
